01Who we are
Tekr is run by Josh Wright, a sole trader trading as Tekr (“Tekr”, “we”, “us”), of 98 Greengate, Salford, M3 7JD, United Kingdom. Tekr is not yet a limited company, and this page will be updated when it becomes one.
You can contact us about anything in this policy at that address or by email at info@tekr.ai.
Where Tekr is today. The Tekr product is in development and is shown with demonstration data only. At present the personal data we handle is what people send us through this website and by email. The parts of this policy about the product describe how it handles a customer’s data once that customer connects their systems, and we will update this page before that happens.
02The two ways we handle personal data
As a controller. When you visit this website, send us an enquiry or hold an account with us, we decide how your personal data is used. Most of this policy is about that.
As a processor. When a hospitality business uses the Tekr product, it connects its own systems and its data flows into Tekr. That business remains the controller of that data and we handle it on its instructions, under our agreement with it. If you are an employee or customer of a business that uses Tekr and have a question about your data, the business is the right first point of contact.
03What we collect
When you contact us or ask for a demo: your name, email address, business, role, and whatever you tell us in your message.
When you have a Tekr account: your name, work email address, role, the locations and areas you can access, and a record of when you sign in. Passwords are stored only in a scrambled form that cannot be read back.
Business data from connected systems: when a customer connects a system, Tekr receives operational data from it. Depending on the system, this can include:
- Sales and transaction records, products and prices.
- Staff names, roles, rotas, hours worked and pay rates, where the customer chooses to share them.
- Stock, purchasing, waste and supplier information.
- Bookings and covers.
- Customer reviews, including the reviewer’s display name and what they wrote, and any replies.
- Accounting figures such as costs and revenue by account.
We do not ask for, and customers should not send us, payment card numbers.
When you use this website: we set no cookies of our own and use no analytics or advertising trackers. Our hosting provider, Cloudflare, handles the technical details every website receives, such as your IP address and browser type, to deliver the pages and protect the site from abuse, and may set a strictly necessary security cookie to do so.
04How we use it, and our legal basis
- To reply to enquiries and arrange demos. Our legitimate interest in responding to people who contact us.
- To provide the Tekr product to our customers: calculating figures, detecting changes worth raising, answering questions and sending scheduled briefings. Performance of our contract with the customer.
- To keep Tekr secure and to investigate misuse. Our legitimate interest in protecting the service and its users.
- To meet legal obligations, such as keeping business records.
We do not sell personal data, and we do not use it for advertising.
05How we use AI
The figures in Tekr are calculated by our own software from the customer’s data. We use AI language models to explain and summarise those figures, to answer questions asked in the product, and to draft text such as a reply to a review for a person to approve.
To do this, relevant parts of a customer’s data are sent to our AI provider, Anthropic, which processes it on our behalf under commercial terms that do not allow it to use that data to train its models.
Tekr does not make decisions about individuals by automated means that have legal or similarly significant effects.
06Information from Google accounts
A customer can connect their Google Business Profile so that Tekr can show their reviews and, where they choose, post replies they have approved. To do so, someone authorised by the customer signs in with Google and grants Tekr access.
- What we access: the business locations that account manages, their reviews and existing replies, and the ability to publish a reply.
- What we use it for: only to provide Tekr’s review features to that customer.
- What we do not do: we do not sell this information, use it for advertising, or use it to develop or train generalised AI models. We do not transfer it to others except as needed to provide the service, to comply with the law, or as part of a merger or acquisition with notice to customers.
- Removing access: a customer can disconnect Google in Tekr at any time, or remove Tekr’s access from their Google account. We then delete the stored access credentials.
Tekr’s use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
08Where it is kept
Our providers may handle data in the United Kingdom, the European Economic Area and the United States. Where personal data is transferred outside the UK, it is covered by UK adequacy regulations or by safeguards approved under UK law, such as the International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses, which these providers include in their terms.
09How long we keep it
- Enquiries: for 24 months after our last contact with you.
- Customer business data: for as long as the customer has an account, and deleted within 30 days of the account closing unless the law requires us to keep it longer.
- Account and security records: for 12 months.
10How we protect it
This website is served only over an encrypted connection, and enquiries are kept in a business mailbox that only Tekr can access.
The product is built so that access is limited by organisation, location and role, so people only see what they are responsible for. Data is encrypted in transit, passwords are stored only in a scrambled form, and nothing is changed in a connected system without a person’s approval.
11Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal data we hold about you.
- Ask us to correct it if it is wrong.
- Ask us to delete it, or to restrict how we use it.
- Object to our use of it where we rely on legitimate interests.
- Ask for it in a portable format.
To use any of these, email info@tekr.ai. We will reply within one month. If your data is in Tekr because a business you work for or bought from uses it, we will pass your request to that business.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk. We would appreciate the chance to put it right first.
12Changes to this policy
We will update this page when what we do changes, and tell customers directly about anything significant.
